Lists
A list is a named set of people with phone numbers. Campaigns don’t dial contacts one by one — they dial the lists you point them at, so a list is what you build once and reuse.
Go to Admin → Contacts → Lists.
Creating one
Section titled “Creating one”New list opens a short form above the table: List name, and a Description marked optional that shows in grey beside the name in the list view. Create list saves it; Cancel discards it.
It’s created empty and attached to nothing — no calls until it has members and a campaign behind it.
How a list gets its members
Section titled “How a list gets its members”The Type column tells you which kind you’re looking at.
| Type | Where members come from |
|---|---|
| Manual | Contacts you pick on a GoHighLevel contacts screen and push across with the dialer’s Add to List button |
| Smartlist | A GoHighLevel smart list you attached with Link smartlist — members track its filter and update on their own |
Both actions happen in GoHighLevel, not on this screen — see the dialer.
A Manual list is yours to curate — people stay until a call outcome takes them out, or they go Do-Not-Call, or the contact is deleted in GoHighLevel — and an outcome set to Move to another list can put them into one. A Smartlist list belongs to its filter: people join and leave as they start and stop matching it.
Reading the list view
Section titled “Reading the list view”| Column | What it means |
|---|---|
| Name | With the description beside it |
| Type | Manual or Smartlist |
| Members | People currently in the list |
| Dialable | Members with nothing blocking them right now |
| Undialed | Members never dialed — on any campaign, ever |
| Not dialable | The rest. Hover the number for the breakdown |
| Campaigns | How many campaigns this list feeds |
Members always equals Dialable plus Not dialable — between them the two columns account for everyone.
Hovering Not dialable breaks the number down by reason: Redial cooldown, Outside calling hours, No timezone (held), On Do Not Call, Hit max attempts. Each member is counted once, under whichever reason is holding them back most — and most of them map onto a setting on Outbound.
Reset, in the row’s action buttons, clears the redial cooldown for this list’s numbers. You confirm first, and a green line then says how many leads were freed, or that none were in cooldown.
Inside a list
Section titled “Inside a list”Click a row to open it; Back returns to the tab. The header carries the name, a Smartlist badge if it’s linked and the member count, with a line underneath saying where the members come from.
A linked list also gets Refresh from GHL, which pulls the smart list’s current membership now. It re-syncs on its own every few minutes anyway — the button is for when you’ve just changed the filter and don’t want to wait.
Below that, the members: Name, Phone, State and Tags, read-only — those details are the contact’s own, so a wrong name is fixed in GoHighLevel.
Deleting a list
Section titled “Deleting a list”The bin icon on a row is Delete list. It confirms first, spelling out the damage: the list and the contacts in it are removed from the dialer, it stops feeding the campaigns it’s assigned to, and its leads leave those campaigns’ calling queues — including any still waiting to be called. The people aren’t deleted — they stay in GoHighLevel and in your Contacts — and calls already made keep the list’s name in your call history. It can’t be undone.
Making a list a campaign’s lead source
Section titled “Making a list a campaign’s lead source”Open the campaign, go to its Outbound tab, and tick the list under Lists feeding this campaign. One list can feed several campaigns, and one campaign several lists — see Outbound settings.
